Who Can Use Online Notarization

You can get a document notarized online from anywhere in the United States — at home in another state, traveling, or across town. Jason Dicken is an Indiana notary public (commission #NP0763941). Indiana law lets a remote notary serve signers located outside Indiana, as long as the notary is physically in Indiana during the session. Jason does not have offices or commissions in other states; every remote notarization is performed from Indiana, and the electronic certificate records both his Indiana location and yours.

Online notarization is a good fit when the signer can’t easily meet a notary in person and the organization receiving the document accepts electronic notarizations. It is not the right choice for every document, so eligibility is checked first.

How an Online Notary Appointment Works

  1. Text to book. Text 812-205-3322. Tell Jason what the document is, how many people are signing, which state each signer is in, and who will receive the finished document.
  2. Eligibility check. Jason confirms the document can be notarized online and reminds you to confirm that the receiving party accepts remote online notarization.
  3. Scheduling and secure invitation. Jason texts back a confirmed time in Central Time, and you receive a secure session invitation from Proof. Provide the unsigned electronic document as instructed in the invitation.
  4. Identity verification. At the start of the session you show your photo ID on camera, the platform analyzes the ID, and you complete identity proofing, as Indiana law requires.
  5. Sign on video. You sign electronically while Jason watches live, then he completes the notarial certificate and applies his electronic seal. The session is recorded as Indiana requires.
  6. Receive your document. The completed, tamper-evident notarized document is delivered to you electronically through Proof.

Documents: What Works Online and What Needs a Closer Look

Documents often suited to online notarization include:

  • Affidavits and sworn statements
  • Acknowledgments on personal and business documents
  • Authorizations, releases, and consent forms
  • Business agreements and company forms

These need extra checking before scheduling, because witness rules or the receiving office’s requirements may not allow an online notarization:

  • Wills and estate-planning documents
  • Deeds and documents to be recorded with a county
  • Powers of attorney
  • Documents that require witnesses
  • Documents for use in another country

Jason can tell you whether a document can be notarized online, but he is not an attorney and cannot advise which document you need, how to fill it out, or whether it meets another state’s legal requirements.

What You Need for the Session

  • A computer, tablet, or phone with a working camera and microphone
  • A reliable internet connection and a quiet, well-lit spot
  • A current, unexpired government-issued photo ID for each signer
  • Your document in electronic form (such as a PDF), unsigned
  • Time to complete identity verification before signing
  • The ability to speak and understand English (sessions are in English)

Specific device or browser requirements come with your session invitation.

Pricing

Online notarization is $25 per remote notarial act, the maximum Indiana allows. Each notarized signature is a separate act, so two signers or two notarized signatures means two acts. There is no travel fee. You will know the total before your appointment. See the pricing page for in-person rates.

Availability

Standard appointment hours are 8 a.m. to 8 p.m. daily, Central Time (Evansville, Indiana). After-hours requests are welcome and are scheduled when availability allows. Sending a text does not confirm a time until Jason replies.

Language: sessions are conducted in English, so each signer must be able to speak and understand English.

Frequently Asked Questions

Can I use an online notary if I live outside Indiana?

Yes. Eligible signers can be located in any of the 50 states. Jason Dicken is commissioned in Indiana and must be physically in Indiana while performing the remote notarization; your location does not need to be in Indiana. The electronic certificate records both locations.

Will the receiving party accept an online notarization?

Many organizations accept remote online notarizations, but not all. Courts, county recorders, lenders, government agencies, and foreign authorities can set their own rules. Before your appointment, confirm with whoever will receive the document that an electronically notarized document is acceptable. We will ask about this before scheduling.

Which documents can be notarized online?

Many personal and business documents can, such as affidavits, sworn statements, acknowledgments, authorizations, and consent forms. Some documents need extra checking first, including wills, deeds and other real estate records, powers of attorney, and anything that requires witnesses. Describe your document when you request an appointment and we will confirm whether it can be handled online. We cannot give legal advice about which document you need.

What if my document needs witnesses?

Tell us when you request the appointment. Whether witnesses can take part remotely, and who may serve as a witness, depends on the document and the rules that apply to it. If witnesses cannot be accommodated online, an in-person signing may be required.

Can more than one person sign?

Yes. Each signer must complete identity verification, and each notarized signature is a separate notarial act at $25. Let us know how many signers there are and where each will be when you schedule.

How do I verify my identity online?

Indiana uses a three-step process for remote signers who are not personally known to the notary: you show your government-issued photo ID on camera, the platform analyzes the ID, and you complete identity proofing, which may include answering questions drawn from your personal history. If a step fails, the notarization cannot go forward.

How much does online notarization cost?

$25 per remote notarial act, the maximum allowed under Indiana law. Because nobody travels, there is no travel fee. You will know the total before your appointment.

How do I get my completed document?

Your notarized document is delivered electronically after the session, with a tamper-evident electronic notarial certificate. It is delivered through the secure notarization platform used for your session.

Is the session recorded?

Yes. Indiana requires remote notarizations to be recorded and logged in an electronic journal, which the notary keeps as required by law.

Can the session be in another language?

No. Sessions are conducted in English, so each signer must be able to speak and understand English.

What if I'm located outside the United States?

Contact us before scheduling. Indiana allows some remote notarizations for signers abroad, but additional legal conditions apply, and the country you're in may have its own restrictions.
